Distribution of Door Prizes
« on: April 05, 2005, 03:44:33 PM »
Some folks have asked how I plan to make distribution of the huge pile of door prizes that GBO Sponsors have provided. Here is my plan.

I intended to have every one's name on a piece of paper. All to be the same. So I'm gonna need a COMPLETE list of all involved BEFORE I leave headed to the shoot. I'll make up the papers with names here at home. That way all will be exactly alike so no one can tell by looking at the folded paper what name is on it.

We'll put all names in a hat or box and someone (not me) will draw the names one at a time.

I will have the prizes divided up so you know what is available. For instance each scope will be one prize. Each loading manual will be a prize. Each 250 or 500 pack of bullets will be a prize. The stock set will be a prize.  You get the idea.

When your name is drawn you'll get to select any one of the prizes not yet taken. We'll continue until all names have been drawn. Each name will then be put back into the hat or box and we'll do it all over again. This will continue until all prizes have been awarded. Everyone will get a prize and most if not all will get more than one. No one will get two until everyone has one and no one will get three until everyone has two. The lone exceptions to this is I'm thinking of a prize for oldest person present and also maybe for furtherest distance traveled. THESE ARE NOT FIRM. They are maybe's.

Now we need to discuss the WHEN of giving out the prizes. I'd like it to be done when all who are coming are there. I know some folks are not going to be there the entire time. This may complicate matters. So if you're NOT gonna be there for the entire shoot but will be for some of it I need to know which days you will be. Actually which NIGHTS I guess as we'll most likely do this one night after a shoot when we gather at the site Wes has set up for us to do this.

I have such a huge pile of prizes it's gonna take some time to make this happen. Not gonna be a ten minute job.

Now one final thing. ALL of you have seen the list of names and will see a full list later of the folks who've donated prizes. I think it's only right that as many of you as possible thank the folks donating prizes for this event. If that don't happen don't look for a repeat of this generosity from them if this becomes an annual event.

I am not scheduled to go GB so I can probably comment in an unbiased manner, The system you have set up seems to be wonderfully fair and reflects upon you very well.
Furtherest travelled huh?. well If Fred M. is not going I may be a shoe-in for that award, I may just have to rethink the cost of gas and time and my BW (beautiful wife's) wrath....Now if you could just get an oil company to supply the gas for the furtherest traveled.....<><....

Bill, everything sounds great so far.

But I would like to make a suggestion....

When we go on our annual guided pheasent hunt there are several sponsers that donate door prizes.  We put everyones name in a hat, and draw for specific prizes.  IE....you know what you're getting when your name is drawn.  When you get your prize, there is a thank you note and card already addressed to the sponser that donated that prize.  You sign the card and put a little note in it thanking the sponser for your individual gift.  The cards are all taken up after, and mailed at the same time.

I could probably pick up a pack of thank you cards, but I don't have the info to go ahead and put the addresses on the envelopes for each door prize.  If you would PM or email me the list of individual prizes, and who donated them, I'll get the envelopes made up and we'll hand out a card with each prize.

If this sounds like a good idea to you let me know.

Better be a HUGE pack of cards.    The list is still not complete and I've honestly not set down to figure out just which things will make up a prize and which will be combined with something else to make a prize. But I think we're likely looking at 60-80 individual prizes as a minimum.

I'd really like to see more folks than just the ones getting a gift thanking the sponsors of the event. By this I mean even those who aren't going but are a part of the Handi-Holics group. The more thank you's folks get for this generosity on their part the more likely it will be repeated if we do this again.

I will try to work up such a list of prizes as I need it anyway in giving them out so I'll know just how many names we'll need to draw. It will take me some time tho to work it up. I've not even gotten all of the prizes in yet and still have two more companies I'm trying to contact.

I agree that as many people should send thank you's to the sponsers as possible.  They are supporting the "Handi-holics" even though some can't come.

I still think I can get a package of 50 or 100 cards and that would simplify the thank you process greatly.  I'll check at Wally World next time I am in there.

GB this might be hard to do not sure but could you list all the companies’ names that gave us prizes, and maybe the person’s name that was point of contact to make this happen i.e. giving of the prize(s) we received.

Because personally I would rather CALL and thank them.
A thank you card is great but you can't feel the excitement/ gratitude that a phone call could give.

But that’s just me.

I guess I should've put it this way.....

I encourage all members to contact the sponsers themselves either by card or phone.  But I'm still going to make sure that there is at least one thank you for each sponser.

GB:

Warf's idea is a good one too...a personal phone call giving a big ThankYou...would indeed be appropriate...and that is coming from one who wishes he could attend...but cannot ...I would be more than willing to do this since my long distance is free...

Just a hint guys, the "thank you" is a GREAT idea, but I would suggest you try to be sure it go's to the person responsible for sending the stuff or gets forwarded "up the ladder" to the bosses. Just telling a secretary and not being sure she forwards the info to someone in charge (of future?) donations or advertising would not be of much help or use.
Enjoy, I sure wish I could make it!!!....<><....
